Import PST to Office 365 Exchange Online Mailbox without Outlook

Microsoft Office 365 is a cloud-based email client service. Now a day’s most of the users are moving from other email clients (like lotus notes, and thunderbird) to o365 Account. So here I am going to discuss the process or MS Outlook PST to Office 365 Exchange Online migration without Outlook Configuration.

Why the users are moving to O365 Cloud Mailbox?

 Microsoft provides many services and security for our users. Office 365 use can access our o365 Mailbox account from anywhere and any device including a laptop, desktop, tablets, and phones (android & apple). That is the main reason, the users are switching from other email clients to Exchange Online environment.

How to import from Outlook 2019 to Office 365 cloud platform?

There is two possible way to convert the PST file data to Exchange Online Mailbox and in this article, we are going to explain both processes for importing PST file data such as emails, contacts, calendars, appointments, and attachments into an o365 Cloud platform.  

1 Network Upload Method

2 Third-party application

Method 1: PST to Office 365 Manually using Network Upload and Azure AzCopy Tool  

You can migrate the Outlook PST file data to Office 365 by the Exchange Admin Center. While you are using this Manual way you need to follow these given step by step processes to convert your Microsoft Outlook PST file data to o365 Exchange Online environment.

Step 1: Assign the Mailbox Import Export Role for manually migrate the PST to o365 Cloud Platform

For providing the Mailbox Import Export Role you can also use the Admin Portal or the Windows PowerShell Command. But here I am going to use the PowerShell process. So just open it and run as administrator and connect with the o365 Exchange Online mailbox by entering the following command line.

$o365Cred = Get-Credential

$Session = New-PSSession -ConfigurationName Microsoft.Exchange -ConnectionUri -Credential $o365Cred -Authentication Basic –AllowRedirection

Once you connect with the Exchange online, put the below command to create the PSSession

Import-PSSession $Session

After importing the PS or remote session just assig the Management role of Mailbox Import Export by entering the following commands.

New-ManagementRoleAssignment -Role "Mailbox Import Export" -SecurityGroup "Organization Management" -Name "Import Export Org Management"

When you add the import-export role in the Office 365 Exchange Admin center you can assign it to the user's mailbox.

New-ManagementRoleAssignment –Role "Mailbox Import Export" –User "username"

In the UserName section, you need to provide a valid user name. That’s it.

Once you enter a valid name and hot on the Enter key it will successfully be assigned for that particular user mailbox.

Step 2: Download the Azure tool and know the SAS URL

After that you need you to upload the PST file into the Office 365 for this you required a SAS URL and an Azure AzCory Tool. So follow the steps to get the SAS URL and the Azure tool.

First, log in with your Office 365 Administrator Mailbox then go to the Migration Window by Admin>> Setup>> Data Migration>> Upload the PST files.

After Clicking on Upload PST files option just type your Job name>> Next then check on Upload your data then again Next.

Now the Import Data window will open on the screen where you need to click on Show Network Upload SAS URL to know the URL after that hit on Download Azure AzCopy to Download and Install the Microsoft Azure Storage AzCopy tool.

Step 3: Launch AzCopy Tool and upload the PST on it.

Once you installed the application just open it and put the following command with the shared file location, destination path, and the SAS URL.

“AzCopy.exe /Source:\\PST file location path/Dest:”SAS URL” /V: location to save log file \AzCopy.log /Y”

Step 4: Create the CSV file and upload & validate it

After completing the previous process just go to the Import job window and check on both prepare mapping file options>> Next.

Now open excel and create a CSV file with the Workload, FilePath, Name, Mailbox, IsArchive, and TargetRootFolder.

Once you create the CSV file then you need to click on select Mapping file >> Upload the CSV and Validate when it has done just hit on Save.

Step 5: Move the PST data into the Office 365 Mailbox

When you have done just go to the Import Window in Office 365 and here you will see all job which is waiting to upload into o365, then click on Ready to import to Office 365 option>> now you will see the filter window where you will get two options and you can choose any one of them>> Next.

Note: Once you select the first, you can migrate only the selected items or folders including contacts, calendars, appointments, and attachments, etc into Exchange Online Mailbox.

Method 2: Migrate Outlook 2019 PST file into Office 365 using third-party software

In the above process, we discussed the complete manual process for converting the PST to o365. The network upload method is a little bit difficult and very time-consuming for non-technical users. So here we are recommending you to use the third-party software for importing PST file data into Exchange Online Mailbox with the same folder structure. Convert PST to the Office 365 Primary or In-Place Archive Mailbox: It will import all MS Outlook PST file data including attachment to the Exchange Online Primary or Archive mailbox.

Note: If you want to move your data into In-Place Archive then you need to enable the Archiving to the o365 user account.

Maintain the folder structure: If you are using this PST to Office 365 Migration tool for importing the Outlook PST to o365 it will create the same folder structure.

No need any External PowerShell Command: In this software, you don’t need any Windows PowerShell or Azure AzCopy command line to import PST to Office 365.
